Executive Liaison, Corporate Technology
Boston, MA - Full-Time/Hybrid

The Opportunity

Corporate Technology isseekinga highlyself-motivated andexperiencedExecutive Liaison. The successful candidate will deliverexceptionaladministrative and program/projectrelatedsupport to the Head of Corporate Technology. This rolerequires someonewho thrivesin afast-pacedenvironment,isadept at managing complex administrativetasks,enjoyscollaborative teamwork, and consistently handles highly confidential and timesensitive information with discretion and prioritization.


The Impact
This is a multi-faceted role in which the Executive Liaison will take initiative and operate in an autonomous way,usinga proactive approach to anticipate and fulfill the administrative needs of the Head ofCorporate Technologyand coordinate across the team ofotherassistants to deliver a consistent approach to operations. This role will be involved in coordinating, planning,reportingand communicating as well as managing andmaintainingcalendar activity, coordinatingdomestic and internationaltravel, and responding to information requests. This will include coordinating meetings and conferences with both internal and external sources, compiling information from various sources for routineinquiries and reports, analyzingdataand preparing regularly scheduled reports. TheExecutive Liaisonwill provide backup support to otheradministrativeprofessionals as needed.


Key responsibilities include but not limited to:

  • Executive calendar and meeting management:Own complex calendar strategy;proactivelyprioritizingandsafeguarding dedicatedfocus time. Coordinateschedulingacrossmultipletime zonesand proactively resolveconflictsefficiently.Prepare/ensuremeetingagendas, pre-readmaterials, anddesiredoutcomes are clearlyestablished.Maintain a comprehensive understanding of the executive’s priorities to effectively make informed decisions and setappropriate prioritieson their behalf.

  • Executive communications:Draft, edit, and proofread executive communications (e.g.,email, memos, presentations, talking points, excel exhibits) with strong attention to voice, tone, and accuracy.Proactivelyidentifyandexecute oncommunication needs across the department.

  • Stakeholder liaison:Act as a primary point of contact for internal/external partners.Build effective relationships with Technology leadership, business partners, vendors, and executive assistants across the enterprise.

  • Meeting readiness and follow-through:Coordinate recurring operating rhythms (staff meetings, leadership reviews, governance forums).Capture action items as needed. Track follow-ups and ensure closure.

  • Business operations support:Assist with planning cycles and deliverables (e.g., priorities,KPIs/metrics, quarterlystrategyreviews). Maintain team distribution lists and organizationalmaterials. Support onboarding/offboardinglogistics.Provide program/project-related support.

  • Travel and expense coordination:Arrange domesticandinternational travel. Manage itineraries and changes.Prepare andsubmitexpense reports. Ensure compliance with company policies.Coordinate budget items including invoice/vendor management for Corporate Technology teams.

  • Events and offsites:Plan and execute executive meetings,conferences,leadership offsites, and team events (virtual and in-person), including venue/logisticscoordination, vendor management, and attendee communications.Interface withtheexecutive support team and/ortheEvent Planning Team, to coordinate schedules, reserveappropriate conferencerooms, catering orders, prepare room andrequiredmaterials for meetings.

  • Document and information management:Maintainorganized digital filing and version control for executive materials. Handle sensitive information with discretion.Apply records and retention guidelines.

  • Process improvement:Identify opportunities to streamline administrative processes andmeetingcadences.Leverage technology tools (e.g.,Microsoft 365) to improve efficiency and transparency.

  • Professional representation:Represent the executive office with polish and professionalism.Anticipate needs,exercise sound judgment,and diplomacy in high-visibility interactions.

The Minimum Qualifications:

  • High school diploma or equivalent

  • 7+ yearsof progressively responsible administrative experience, including direct support to senior executives 

  • 4+ years’ experience working with Microsoft Office suite (Word, Excel, PowerPoint,etc.), Google Workspace, Zoom, and Slack


The Ideal Qualifications:

  • At least 2+ years' experience working in the Financial Services Industry.

  • Demonstrated ability to managehighly complexcalendars and multi-stakeholder scheduling with shifting priorities.

  • Advancedproficiencywith Microsoft 365 tools (Outlook, Teams, Word, PowerPoint, Excel, OneNote/SharePoint).

  • Exceptional written and verbal communication skills, including the ability to draft executive-ready content.

  • Strong organizational skills and attention to detail; ability to manage multiple workstreams with minimal oversight.

  • High degree of discretion, professionalism, and sound judgment when handling confidential information.

  • Ability to work effectively across organizational levels and influence without authority.

  • Experienceworking within a collaborative environment with both internal and external partners to achieve results.

  • Proficient working knowledge of both Ariba and Concur system applications

  • Ability toleverageadditionaltechnology - Workday, ServiceNow,xMatters, and Archer.

  • Ability to complete a high volume of work and with limited directionandoversight.

  • Ability to navigate complex situations and organizations.Identifyandexecute onresolutions.

  • Ability to dynamically prioritize and troubleshoot conflicts.Anticipates challenges and proactively addresses them.

  • High levelof attention to detail and time management, with a strong understanding of the importance of being responsive and proactive in a deadline-driven environment
