Job Description
The Opportunity
MassMutual’s Operations Business is looking for a highly self-motivated and experienced Executive Liaison. This position will provide administrative and program/project related support to the Head of Shared Services and Enablement and the Head of Global Workforce Management, Learning & Development and Service Quality. This position requires someone who enjoys working in a fast-paced environment, is comfortable taking on complex administrative tasks, enjoys working in collaboration with others, and can regularly handle highly confidential and time sensitive information with necessary care and prioritization.
The Team
You’ll join the Shared Services & Enablement team, a highly collaborative organization that provides essential services and strategic support to Operations and business partners across the enterprise. As part of a broader network of Operations assistants and Executive Liaisons, you’ll help enable a coordinated, enterprise‑wide approach to how leaders engage, communicate, and deliver results contributing directly to the effectiveness and impact of the Shared Services & Enablement organization.
The Impact
This is a multi-faceted role in which the Executive Liaison will take initiative and operate in an autonomous way, utilizing a proactive approach to anticipate and fulfill the administrative needs of the executives and coordinate across the team of Operations assistants to deliver a consistent approach to operations. This role will be involved in coordinating, planning, reporting and communicating as well as managing and maintaining calendar activity, coordinating travel (domestic and international), and responding to information requests. This will include coordinating meetings and conferences with both internal and external sources, compiling information from various sources for routine inquiries and reports, analyzing data and preparing regularly scheduled reports. The assistant will provide backup support to other Executive Liaison professionals as needed.
Key responsibilities include but not limited to:
Calendar management for the Head of Shared Services and Enablement & the Head of Global Workforce Management, Learning & Development and Service Quality : accept/decline, establish intimate knowledge of meeting requests in order to prioritize and make decisions on behalf of the leaders, and proactively resolve calendar conflicts
Budget liaison (coordinate budget items including invoice/vendor management for Shared Services and Enablement teams)
Prepare and submit invoices/expenses and reconcile and manage department purchase card
Schedule meetings, conferences and events and interface with executive support team and/or Event Planning Team, to coordinate schedules, reserve appropriate conference rooms, catering orders, prepare room and required materials for meetings needs
Prepare meeting agendas, coordinate meetings, and take minutes as needed, including circulating action items for follow-up
Finalize high-level materials--review/edit/format semi-final draft materials (e.g., communications, letters, PowerPoint slides, Excel exhibits) to produce a final product and in collaboration with the Communications Consultant Team
Provide program/project-related support
Proactively identify and execute on communication needs across the department, in partnership with the communications team
The Minimum Qualifications:
High school diploma
5+ years of progressive experience providing high-level administrative support in roles such as Executive Assistant, Chief of Staff, Office Manager, or similar positions involving executive-level coordination and/or stakeholder engagement.
4+ years’ experience working with the Microsoft Office suite (Word, Excel, PowerPoint, etc.) and familiarity with common collaboration and communication tools (e.g., Google Workspace, Zoom, Slack, Microsoft Teams, or similar)
The Ideal Qualifications:
Bachelor's Degree
Experience working in the Financial Services Industry
Experience working with in a collaborative environment with both internal and external partners to achieve results
Proficient working knowledge of both Ariba and Concur system applications
Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.)
Ability to leverage additional technology - Workday, ServiceNow, xMatters, and Archer
Ability to complete a high volume of work and with limited direction & oversight
Ability to navigate complex situations and organizations; identify and execute on resolutions
Ability to dynamically prioritize and troubleshoot conflicts; anticipates challenges and proactively addresses them
High level of attention to detail and time management, with a strong understanding of the importance of being responsive and proactive in a deadline-driven environment

Salary Range: $93,500-$117,800
